Retrying and troubleshooting failed emails

Sometimes emails don't get processed on the first attempt — they might have been skipped due to limits, paused filters, or temporary errors. FilterWise lets you re-queue these emails for processing. This guide explains when and how to do it.

When to Re-Process an Email

Retrying is useful in these situations:

  1. After hitting your daily limit: You received emails that were skipped because your analysis quota was exhausted. The next day (or after purchasing credits), you can retry them.

  2. After activating a paused filter: Emails received while your filter was on hold were not processed. After activating, retry them to analyze the listings they contain.

  3. After fixing your configuration: If emails were skipped because your instructions or output email was missing, retry them after completing your filter setup.

  4. After an error: Temporary errors (service disruptions, timeouts) can cause processing failures. Retrying usually resolves these.

  5. After updating your instructions: If you've significantly changed your filter criteria, you might want to re-analyze recent emails with the new instructions.

How to Re-Process an Email

  1. Go to Emails in the dashboard sidebar
  2. Find the email you want to retry
  3. Click on the email to open its detail panel
  4. Click the Retry button
  5. Confirm the action in the dialog

Important: Retrying an email counts toward your daily analysis limit. Each listing extracted from the email will consume one analysis from your quota (or one credit if you've exceeded your limit).

What Happens During Re-Processing

When you retry an email:

  1. The email status changes to "Queued"
  2. URLs are re-extracted from the email content
  3. Each listing page is scanned again (getting fresh data)
  4. The AI analyzes each listing against your current instructions (not the instructions that was active when the email was first received)
  5. Results are updated in your dashboard
  6. Matched listings are forwarded according to your current notification settings

Note on duplicates: If some listings from the email were already analyzed (e.g., because the email was partially processed before an error), those listings will be re-analyzed with fresh data. The existing listing records are updated, not duplicated.

Common Issues and Solutions

Email Shows "Processed" but No Listings Found

Possible causes:

  • The email is a newsletter or notification, not a listing alert
  • The email contains listing links in an unusual format
  • The listings in the email have already been analyzed from a previous email

What to do: Click the email to see its content. Check if there are visible property listing links. If the email contains listings but FilterWise didn't detect them, the email format may not be supported for that specific portal.

Listings Analyzed but None Matched

This isn't an error — it means the AI successfully analyzed all listings but none met your filter criteria. This is the system working as intended.

What to do:

  • Go to Listings and filter by "No match" to see rejected listings
  • Click each listing to see the AI's reasoning for each criterion
  • Consider whether your instructions is too restrictive
  • Try enabling "Include when unsure" if many listings are rejected because criteria couldn't be assessed

Email Stuck in "Processing" State

Possible causes:

  • Processing is taking longer than usual (large email with many listings)
  • A temporary system issue interrupted processing

What to do: Wait 15-30 minutes. If the email is still in "Processing" after that, try retrying it. The system will restart the process from the beginning.

Repeated Errors on the Same Email

Possible causes:

  • The email content contains malformed HTML that can't be parsed
  • All listing URLs in the email are from a blocked/unsupported site
  • A persistent issue with one of the external services

What to do: Try once more after a few hours. If the error persists, the email format may be incompatible. Consider forwarding individual listing URLs directly instead.

Tips for Avoiding Processing Issues

  1. Keep your filter configured: Make sure your instructions and output email are always set before redirecting alerts
  2. Monitor your daily usage: Check your stat cards regularly to avoid hitting limits unexpectedly
  3. Use HTML email format: Ensure your portal sends HTML emails (not plain text) for best URL extraction
  4. Don't forward the same email multiple times: FilterWise deduplicates, but it's cleaner to forward once

Bulk Re-Processing

Currently, emails must be retryed one at a time. If you have many skipped emails (e.g., from a period when your filter was on hold), retry the most recent ones first — older listings may no longer be available on the portal.
