Understanding email statuses

Every email received by FilterWise is assigned a status that tells you exactly what happened to it. This guide explains each status and what you can do about it.

Where to See Email Statuses

Go to Emails in the dashboard sidebar. Each email row shows its status as a colored badge. You can also filter the list by status using the filter bar at the top.

Status Reference

Processed ✅

What it means: The email was successfully received, its listing URLs were extracted, each listing page was scanned, and the AI analysis was completed.

What you'll see: The number of listings found, their match/no-match status, and whether matched listings were forwarded.

Action needed: None — everything worked as expected. Click the email to review individual listing results.

Queued ⏳

What it means: The email has been received and validated, but hasn't been processed yet. It's waiting in the processing queue.

Why it happens:

  • The system is currently processing other emails
  • There's a brief queue during high-traffic periods
  • The email was just received and processing hasn't started yet

Action needed: Wait a few minutes. Emails typically move from queued to processed within 1-5 minutes. If an email stays queued for more than 15 minutes, there may be a temporary system issue — try retrying it.

Processing ⚙️

What it means: The email is actively being processed right now. URLs are being extracted, pages are being scanned, or the AI is analyzing listings.

Action needed: None — just wait. Processing typically takes 30 seconds to 5 minutes depending on the number of listings in the email.

Skipped — Duplicate 🔄

What it means: FilterWise detected that this email has the same subject line and similar content to an email received recently. To avoid analyzing the same listings twice, it was skipped.

Why it happens:

  • You have multiple email forwarding rules that sent the same alert twice
  • The portal sent a duplicate notification
  • You manually forwarded an email that was already auto-forwarded

Action needed: Usually none — this is working as intended. If you believe the email contains different listings, you can retry it from the dashboard.

Skipped — Limit Reached 📊

What it means: Your daily analysis limit was already reached when this email arrived. The email was logged but not processed to avoid exceeding your plan's quota.

Why it happens: Each plan has a daily limit on how many listings can be analyzed (e.g., 10 for Free, configurable for Simple and Pro). Once you hit that limit, new emails are skipped.

Action needed:

  • Purchase credits: Buy analysis credits ($1 per 100) to process more listings today
  • Upgrade your plan: Increase your daily limit with a Simple or Pro subscription
  • Wait until tomorrow: Your daily counter resets at midnight UTC
  • Retry: Once you have available quota (next day or after buying credits), you can retry skipped emails

Skipped — Paused ⏸️

What it means: Your filter was on hold when this email arrived. Paused filters don't process incoming emails.

Why it happens:

  • You manually paused the filter
  • The system auto-paused your filter due to inactivity (free plan: paused after 5 days without login)

Action needed: Resume your filter from the dashboard, then retry any emails you want analyzed.

Skipped — Not Configured ⚠️

What it means: The filter that received this email doesn't have a complete configuration. Either the filter instructions or the output email (or both) is missing.

Why it happens: You set up the email address but haven't finished configuring the filter's filter instructions and/or output email.

Action needed: Go to your filter settings and complete the configuration (add a filter instructions and output email), then retry the skipped emails.

Skipped — No Listings Found 🔍

FilterWise found no listing URL in the email. This email is forwarded to your output address, unchanged: an address that only receives alerts also receives everything else a portal sends — a message from a buyer, an account confirmation, a survey — and you would never see it otherwise, because it landed in a mailbox you do not read.

Already seen — no new listing 🔄

The email was read and its listings identified, and every one of them was already in your account from an earlier alert. Nothing new to analyse, so nothing was created — and the email is not forwarded: you have already seen what it contains.

Extraction Failed ⚠️

The listing links were found but could not be read. FilterWise retries automatically; if it persists, the portal's email format has probably changed.

Error ❌

What it means: Something went wrong during processing. This is rare and usually temporary.

Why it happens:

  • Temporary service disruption
  • The email format caused an unexpected parsing error
  • External services (scanning, AI) were temporarily unavailable

Action needed: Try retrying the email. If the error persists, the issue may be with the specific email format. Most errors are resolved automatically on retry.

Filtering and Searching Emails

The Emails page provides several tools to manage your email list:

  • Status filter: Click the filter tabs (All, Processing, Queued, etc.) to show only emails with a specific status
  • Search: Type in the search bar to find emails by subject or sender
  • Date sorting: Emails are shown newest first by default

Data Retention

Emails and their associated data are retained based on your plan:

  • Free: 10 days
  • Simple: 20 days
  • Pro: 60 days

After the retention period, emails and their listings are automatically deleted.
